🇺🇸 Notice for US families with children under 13: Inspire Tutors collects limited personal information from minor students as part of delivering our educational services. This is subject to the US Children’s Online Privacy Protection Act (COPPA). Jump to Section 8 for details on how we handle children’s information and your rights as a parent or guardian.

Who We Are

Inspire Partners & Co Inc (“Inspire,” “we,” “us,” or “our”) is a corporation incorporated in Ontario, Canada, operating under the trade name Inspire Tutors. We provide online language instruction in French, Spanish, and English to students across Canada and the United States.

This Privacy Policy explains how we collect, use, store, and protect personal information in connection with our services, our website at inspire-tutors.com, and all communications with our team.

What This Policy Covers

This policy applies to all personal information we collect in connection with:

  • Enrollment in Inspire Tutors programs
  • Delivery of online language sessions via Zoom
  • Use of our website at inspire-tutors.com
  • Communication with our team via email, WhatsApp, or any other channel
  • Payment processing and invoicing
  • Preparation and delivery of progress reports and assessment documents

It applies to information about both Clients (parents and guardians) and Students (the children enrolled in our programs), and covers personal information collected about individuals residing in Canada and the United States.

Section 3

Information We Collect

We collect only the information necessary to deliver our services well. Here is what we collect, and why:

We do not collect information beyond what is necessary to operate our services. We do not collect sensitive personal information such as government identification numbers, health records, or financial account details.

Section 4

How We Use Your Information

We use personal information for the following purposes:

  • Service delivery — scheduling sessions, matching students with educators, preparing lessons and progress reports
  • Communication — responding to inquiries, sending session reminders, providing scheduling updates
  • Billing and invoicing — processing payments and issuing receipts and invoices
  • Safeguarding — maintaining session recordings to protect the safety and welfare of students and educators
  • Educational documentation — producing progress reports, assessment records, and funding documentation for families using ESA accounts or other programs
  • Legal compliance — meeting our obligations under Canadian and applicable US law
  • Service improvement — understanding how families engage with our website and services to improve the experience

We do not use personal information for advertising, marketing to third parties, or any purpose not described above.

Section 5

Session Recordings

All Inspire Tutors sessions are automatically recorded via Zoom. This is a standard safeguarding practice for online educational services involving minors, and it is common across the industry — including platforms such as Outschool.

Why We Record

Recordings exist to protect both students and educators. In the event that any concern, complaint, or allegation regarding a session is raised — by a student, parent, or educator — the recording provides an objective record of what occurred. This protects everyone involved and is essential to our duty of care toward the children we teach.

Who Can Access Recordings

Recordings are accessible only to authorised Inspire Tutors staff, and only when a specific concern has been raised. They are not routinely reviewed, and they are never shared with other families, third parties, advertisers, or external organisations.

Retention

All recordings are automatically deleted after 60 calendar days from the date of the session. We do not maintain a permanent archive. Recordings are stored securely on encrypted servers during the retention period.

Consent

By enrolling with Inspire Tutors, parents and guardians acknowledge and consent to sessions being recorded for safeguarding purposes. This consent is a condition of enrollment. If you have questions about our recording practices, please contact us at learn@inspire-tutors.com.

Our commitment: Recordings are a safeguarding tool — not a surveillance one. They are retained for the minimum period necessary, accessed only when genuinely needed, and deleted automatically. They will never be used for marketing, training AI systems, or any commercial purpose.

Section 6

How We Share Information

We do not sell, rent, trade, or share personal information with third parties for commercial purposes — ever.

We may share limited information in the following circumstances:

  • With our educators — student names, language level, and learning goals are shared with the assigned educator to deliver sessions effectively
  • With our payment processor — billing information is shared with our third-party payment processor to complete transactions. We do not store card details directly (see Section 10).
  • With Zoom — sessions take place on Zoom, which processes video and audio data in accordance with Zoom’s own Privacy Policy
  • For legal compliance — we may disclose information if required to do so by law, court order, or a regulatory authority, or if necessary to protect the safety of a student or other person
  • For ESA or funding documentation — with the Client’s explicit request, we provide invoice and session documentation to ESA program administrators or other funding bodies

In all cases, information shared is limited to what is strictly necessary for the purpose stated.

Section 7

Data Retention

We retain personal information for as long as necessary to deliver our services and meet our legal obligations. Here is how long we retain specific categories of data:

When data reaches the end of its retention period, it is securely deleted. Clients may also request earlier deletion of their data (see Section 9 — Your Rights).

Section 8 — Special Notice

Children Under 13 — COPPA Notice for US Families

🇺🇸 This section applies to families based in the United States with children under 13 years of age.

Inspire Partners & Co Inc is aware that the US Children’s Online Privacy Protection Act (COPPA) applies to our services when we enroll students under the age of 13 from the United States. Even though Inspire Tutors is incorporated in Canada, COPPA applies to any online service that collects personal information from US children under 13 — regardless of where the business is based.

Here is how we comply:

  • We obtain verifiable parental consent before enrollment. The enrollment and payment process — completed by a parent or guardian — constitutes verifiable parental consent under COPPA. A minor cannot independently enroll in or pay for Inspire Tutors services.
  • We collect only what we need. For students under 13, we collect name, age, language background, and session information — nothing beyond what is necessary to deliver instruction.
  • We do not disclose children’s information to third parties for advertising, marketing, or any commercial purpose. Session recordings and student records are used solely for safeguarding and educational purposes.
  • We retain children’s personal information only as long as necessary — session recordings are deleted after 60 days, and other student records are retained only for the duration of enrollment plus a reasonable post-enrollment period for documentation purposes.
  • Parents may request access, correction, or deletion of their child’s personal information at any time (see Section 9).
  • We do not condition a child’s participation in our educational services on the disclosure of more personal information than is reasonably necessary.

All Other Minor Students (Ages 13–17)

For students aged 13 to 17 (who are minors but not subject to COPPA), Inspire Tutors still requires enrollment to be completed by a parent or legal guardian. All session recordings, educational records, and personal information for minor students are handled with the same care, security, and limited retention described throughout this policy.

Section 9

Your Rights

As a Client or parent/guardian of a Student, you have the following rights with respect to your personal information:

✓ Right of Access

You may request a copy of the personal information we hold about you or your child at any time.

✓ Right to Correction

If any information we hold is inaccurate or incomplete, you may request that we correct it.

✓ Right to Deletion

You may request deletion of your personal information or your child’s information, subject to our legal retention obligations (e.g., tax records).

✓ Right to Withdraw Consent

You may withdraw consent for non-essential data processing at any time. Note that withdrawal of consent for session recording will require discontinuation of services, as recording is a safeguarding condition of enrollment.

✓ Right to Complain

Canadian residents may lodge a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.

✓ COPPA Parental Rights (US)

US parents may review, correct, or request deletion of their child’s information at any time. Email us with “COPPA Request” in the subject line.

Section 10

Third-Party Services

Inspire Tutors uses a small number of trusted third-party services to operate. Each handles data in accordance with their own privacy policies:

Zoom

All sessions take place on Zoom. Zoom processes video and audio data during sessions in accordance with Zoom’s Privacy Policy. Session recordings initiated by Inspire Tutors are stored on Zoom’s cloud servers during the active recording period before being subject to our 60-day deletion policy. Inspire Tutors uses a paid Zoom account — students do not need their own Zoom subscription or account.

Payment Processor

Payments are processed by our third-party payment platform (PayPal / Stripe — see current platform on our Pricing page). Card details are handled entirely by the payment processor — Inspire Tutors does not store, view, or have access to full credit card numbers. Transactions are processed in accordance with the payment processor’s privacy and security policies and PCI DSS standards.

WhatsApp

Our student coordinator communicates with families via WhatsApp. Messages sent through WhatsApp are subject to Meta’s privacy policy in addition to this policy. If you prefer to communicate by email only, please let your coordinator know.

We do not use third-party advertising networks, analytics platforms that share data with advertisers, or any service that monetises your personal information.

Section 11

Cookies

Our website at inspire-tutors.com uses cookies — small text files stored on your device — to help the site function and to understand how visitors use it.

What We Use Cookies For

  • Essential cookies — required for the website to function (e.g., maintaining your session if you log in)
  • Analytics cookies — help us understand which pages are visited and how users navigate the site, so we can improve it. We use privacy-respecting analytics only.

What We Don’t Use Cookies For

We do not use advertising cookies, retargeting pixels, or any cookie that shares your data with third-party advertisers. Inspire Tutors products are advertisement-free.

Managing Cookies

You can manage or disable cookies through your browser settings at any time. Disabling essential cookies may affect how the website functions.

Section 12

Data Security

We take reasonable and appropriate measures to protect the personal information we hold from unauthorised access, disclosure, alteration, or destruction. These measures include:

  • Encrypted storage of session recordings during the retention period
  • Access controls limiting who within Inspire can access student records and recordings
  • Use of reputable, security-certified third-party services (Zoom, payment processors) that maintain industry-standard security
  • Staff awareness of privacy obligations and appropriate data handling

No data transmission over the internet or electronic storage is 100% secure. While we take this seriously and implement appropriate safeguards, we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately at learn@inspire-tutors.com.

Data breach notification: In the event of a data breach that poses a real risk of significant harm, Inspire Tutors will notify affected individuals and, where required, the Office of the Privacy Commissioner of Canada, in accordance with PIPEDA’s breach notification requirements.

Section 13

International Data Transfers

Inspire Partners & Co Inc is based in Ontario, Canada. Our clients include families in Canada and the United States. Personal information may be processed and stored in Canada and, where third-party services are used (such as Zoom and our payment processor), potentially in the United States or other jurisdictions.

By enrolling with Inspire Tutors, you acknowledge that your personal information may be transferred to and processed in jurisdictions outside your country of residence. We ensure that any such transfers are handled in accordance with applicable privacy law, and that third-party processors maintain appropriate safeguards.

Section 14

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify existing Clients by email to the address on file and update the “Last Updated” date at the top of this page.

We encourage you to review this policy periodically. Continued use of our services after notification of changes constitutes acceptance of the updated policy.
